ROLE SUMMARY
Search Coordinators deliver high-level administrative and logistical support, ensuring searches run smoothly and efficiently with clients and candidates, while upholding our values and cultural norms. The most successful Search Coordinators are those whose persistence is unparalleled and who are excited at the idea of working on different searches and projects, as well as supporting multiple search teams with varying styles and experiences.
Reporting to the Managing Director, and operating within a collaborative team environment, the Search Coordinator will serve as the connector, problem solver, and facilitator on a portfolio of searches, working closely with other members of the search teams.
Primary Responsibilities Include:
Search Team Logistics & Operations
Act as the lead administrative and logistical support on a search team, serving as project management lead and/or collaborator anticipating the needs of team members, clients, and candidates.
Execute best search practices for team-specific operations, working collaboratively with search and search operations team members to meet short-term and long-term goals for searches, including a prompt launch, detailed metric tracking, and efficient closing.
Oversee the production and review of key search documents, including database reports, while ensuring accuracy and adhering to firm/client formatting standards.
Upload search and candidate documents to client web portal and database, updating and maintaining search data metrics and candidate statuses throughout search process.
As needed, schedule candidate references and perform due diligence measures, including candidate background checks during final stages of the search process.
Process candidate expenses.
Provide miscellaneous search assistance, as needed.
Business Development Coordination
Respond to new business inquiries via phone and/or email and assist the Managing Director with maintaining a pulse on business development pipeline, where applicable
Manage the coordination of business development information, documents, and progress, tracking in the database from initial contact to contract signing, where applicable
Support on proposal development, scheduling of business development meetings, and requesting contracts as needed, where applicable
Client Engagement & Logistics Support
With direction from search team, ensure timely and appropriate interactions with clients, including scheduling and managing logistics for internal and external meetings and interviews.
Utilize virtual scheduling and survey tools to track client needs and run/interpret reports.
Work with clients to provide and maintain confidential web portal access.
Partner closely with Search Leads on administering search strategy and client consultation throughout all stages of the search.
Adhere to and support client EEO requirements/processes.
Serve as secondary client contact on administrative issues and respond to client inquiries and requests, when necessary.

Seek out and be receptive to feedback and coaching from colleagues.
Contribute to searches beyond your portfolio, actively seeking out or independently identifying additional ways to contribute and exceed expectations.
Qualifications
The ideal candidate will bring a deep passion for the mission-driven sector. They will be entrepreneurial and proactive in supporting a variety of projects in a fast-paced environment with keen attention to detail and a commitment to continuous improvement.
A track record of successful project coordination is highly desirable.
Additionally, the Search Coordinator will possess the following qualities, skills, and characteristics:
Ability to manage and execute on a number of diverse projects simultaneously.
A comfort with ambiguity and making progress amidst competing priorities.
History of successfully supporting teams in a client services environment.
Impeccable written and verbal communication skills.
Strong writing skills, including the ability to edit, format, and produce cohesive, error-free search documents.
Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint; and video conferencing software, specifically Zoom.
Creative troubleshooting skills; ability to identify problems and provide solutions.
Excellent and adaptable team-player; a willingness to do whatever it takes to help the team move forward and ensure client satisfaction.
Skilled at managing up and anticipating needs; adjusting to different work and communication styles.
Entrepreneurial mindset, with proven ability to self-direct, be proactive, and take initiative.
Strong internet research skills.
The personal presence and professional judgment required to represent DSG and its clients well in the marketplace when communicating with executive candidates and clients.
Compensation & Benefits
Compensation for this role has a range between $60,000 and $65,000. The compensation package includes medical, dental, and vision insurance, 401k match, and generous PTO including sabbatical time and parental leave, as well as short- and long-term disability, life insurance, FSA/HAS, EAP, and a professional development stipend.
