ROLE SUMMARY
The Executive Women's Forum (EWF) seeks a Technology and Events Coordinator to assist in coordinating events and membership engagement activities in to support of the advancement of EWF's strategic growth, continued impact, and success.
Technology and Events Coordinator
Reporting to the Director of Strategic Marketing, and partnering with and supporting the Conference and Events Producer, the Technology and Events Coordinator helps manage events and membership engagement activities to ensure efficient and timely service delivery. This includes managing all related technology aspects and software with a high standard of quality. The Technology and Events Coordinator will perform research, coordination, and first-class facilitation of events, correspond with colleagues and members, assess new technologies, and make recommendations, as needed.
The Technology and Events Coordinator also supports the utilization and administration of the organization's member engagement software, ensuring efficiency to meet project deliverables and preventing delays in business operations.
The ideal candidate is tech-savvy and is comfortable speaking on camera. Experience in a member-driven organization is preferred.
This is a remote role within Central or Eastern time zones.
Primary Responsibilities include, but are not limited to:
- Support Event Management strategy and execution
- Host, attend and support events, including:
- Scheduling and hosting webinars for EWF programs/events
- Run polls and breakout rooms
- Pre and Post Event Support – topic and speaker follow-up, attendee follow-up, metrics
- Facilitate in-person and virtual events, making announcements/Q&A
- Establishing and maintaining relationships with vendors and venues
- Edit videos
- Coordinate the assessment and selection process of event platforms, including gathering data, researching innovative solutions, and driving RFPs
- Troubleshoot technical issues with internal teams, attendees, vendors, and work for resolution to secure seamless delivery of EWF virtual programs
- Back-end administration and technology support addressing issues during events
- MS Teams, Google Meet, Zoom, Webex, Slack, Monday.com, Your Membership, Vimeo, Cvent
- Keep up to date on releases and new features
- Manage, edit, distribute, and upload event videos and recordings
- Event Website Management
- Work with team to audit/monitor webpages as needed to keep event content current
- Create event registration links/pages
- Manage resource library
- Create web pages for resource sections
- Upload Annual Conference videos
- Back-end systems update and administration
- Conference Support
- Speaker Management
- Conference webpage updates
- Support the Conference and Events Program Producer overseeing the conference agenda online
- Assist with EWF App support for Conference
- Assist with AV/logistics at the conference
- Support any additional annual conference activities as needed
- Women of Influence (WOI)OI Awards Administration
- Support Conference and Events Program Manager with timeline and implementation of the program
- Work with the team regarding submission form, pulling submissions, sending emails
- Other responsibilities and cross-training as needed
Qualifications
- Minimum 3 years of experience
- Expertise in all administrative functions concerning event management
- Technical expertise in event platforms (MS Teams, Google Meet, Zoom), database management (Slack, Constant Contact), project management (Monday.com), Microsoft Office Suite programs, and event Website Management
- Proven success in building relationships, interpersonal and communication skills with exceptional writing skills
- Expertise in creating PowerPoint Presentations
- Strong presentation and public speaking skills with the ability to confidently speak and present to senior-level executives
- Some HTML knowledge and video editing
- Ability to work efficiently from a remote home office
- Preferred location to be on Eastern Standard or Central Standard time zones
- Some travel required (<10%)

Compensation & Benefits
Compensation for this role has a range between at $60,000.00 - $65,000.00. The compensation package includes medical, dental, and vision insurance, 401k match, and generous PTO including sabbatical time and parental leave, as well as short- and long-term disability, life insurance, and FSA. This is a remote role within Central or Eastern time zones.
